This Privacy Policy explains how Hailo Global Ltd ("we", "us", "our") collects, uses, stores and protects personal data when you use the Hailo Grow service. We are the data controller for the information described below.

What we collect
When you set up a church account, we collect the information you give us — such as your name, email address, church name, contact details, and any logo or images you upload.
When visitors sign up through your event pages, we collect the information they provide to you — typically name, email address, and optionally a phone number — and we process it on your behalf.
We also collect basic technical and usage data automatically: IP address, device and browser information, pages visited, and error logs. This helps us keep the service secure and working.
How we use it and our legal basis
We use personal data to provide and improve the Hailo Grow service, to communicate with you about your account, to send transactional emails (such as visitor confirmations and reminders you've configured), and to keep the service secure.
Our legal bases under UK GDPR are: performance of a contract (to deliver the service you've signed up for), legitimate interests (to secure, improve and support the service), consent (where required, for example marketing emails), and legal obligation (where we must retain records).
What we don't do
- We don't sell, rent, or share your visitor list with third parties for their own marketing.
- We don't use your data or your visitors' data to train public AI models.
- We don't post, message, or spend money on your behalf without your approval.
- We don't email your visitors anything you haven't approved.
Visitor data and your role
Where visitors sign up through pages you publish, your church is the data controller for that visitor data and Hailo Global Ltd acts as your data processor. You decide what to send, when to follow up, and when to delete a record.
If a visitor asks to be removed, you can delete their record at any time and we will remove it from our systems in line with our retention rules below.
Sub-processors and where data is stored
We use carefully selected service providers to host and operate Hailo Grow, including cloud hosting, database, email delivery and error-monitoring providers. These sub-processors only handle data on our instructions and under appropriate contracts.
Data may be stored or processed in the United Kingdom, the European Economic Area, or other countries where our providers operate. Where data leaves the UK, we rely on appropriate safeguards (such as the UK International Data Transfer Addendum or Standard Contractual Clauses).
How long we keep it
We keep account and visitor data for as long as your account is active. If you close your account, we delete or anonymise personal data within 90 days, except where we need to keep limited records to meet legal, accounting or fraud-prevention obligations.
Church owners can delete their account at any time from the Settings page in the application. This removes your personal data and, if you are the sole member of the church, all associated church data. If other members remain, your membership is removed and the church data is preserved.
Security
We protect personal data with encryption in transit and at rest, access controls, audit logging, and regular review of our systems. Access is limited to a small number of authorised people on our team, and only when needed to operate or support the service.
Cookies and similar technologies
We use a small number of strictly necessary cookies to keep you signed in and to keep the service secure. We do not use third-party advertising cookies. If we introduce optional analytics in future, we'll ask for your consent first.
Your rights
Under UK GDPR you have the right to access the personal data we hold about you, to correct it, to ask us to delete it, to restrict or object to certain processing, and to receive a copy in a portable format. You also have the right to withdraw consent at any time where we rely on it.
To exercise any of these rights, email contact@hailo.global. We aim to respond within 30 days.
You also have the right to lodge a complaint with the UK Information Commissioner's Office (ICO) at ico.org.uk.
Children
Hailo Grow is not directed at children under 13, and we do not knowingly collect personal data from children. If you believe a child has provided us with personal data, please contact us and we will delete it.
Changes to this policy
If we make material changes to this policy, we'll notify account holders by email and update the date at the top of this page before the changes take effect.
